Job Summary:
We are seeking a highly organized, proactive, and discreet Personal Assistant to support our Managing Director (MD). The successful candidate will play a pivotal role in managing the MD’s schedule, communications, and daily administrative needs, enabling the MD to focus on strategic priorities. This is a key position requiring exceptional organizational skills, professionalism, and the ability to handle sensitive information with the utmost confidentiality.
Key Responsibilities:
- Act as the first point of contact for the MD, managing correspondence, calls, and meeting requests.
- Manage the MD’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare reports, presentations, and other documents on behalf of the MD.
- Attend meetings with or on behalf of the MD, take minutes, and ensure follow-up on action items.
- Liaise with internal departments and external stakeholders professionally and efficiently.
- Handle confidential information with discretion and maintain the highest level of confidentiality.
- Coordinate events, board meetings, and other company functions as required.
- Provide general administrative support including filing, expense tracking, and data management.
- Anticipate the MD’s needs and proactively manage workload and priorities.
Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
- Strong organizational and time-management skills with the ability to multitask and prioritize effectively.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools.
- Ability to work independently and under pressure in a fast-paced environment.
- Strong interpersonal skills and professional demeanor.
Preferred Qualifications:
- Experience supporting executives
- Knowledge of the industry in which the company operates.
- Relevant administrative or business qualifications.
