JOB SUMMARY:
The Manager – Graduate Medical Education is responsible for leading and managing the Graduate Medical Education functions at Sidra. This includes the administrative support of fellowship programs, ACGMEI institutional and specialty accreditations and the medical scholarship program. The Manager – Graduate Medical Education works closely with program directors to ensure a high level of standards is implemented across all programs and in line with ACGMEI requirements. Additionally, s/he is responsible for managing the medical scholarship program which includes medical students, residents and fellows.
KEY ROLE ACCOUNTABILITIES:
- Leads and monitors the development and implementation of fellowship programs to ensure alignment with ACGMEI standards and requirements.
- Provides support to fellowship program directors to ensure compliance with ACGMEI standards and requirements.
- Guides program directors in preparing their ACGMEI accreditation and re-accreditation applications, providing support throughout the accreditation process and site visit.
- Manages the screening and application process for fellowship programs on an annual basis in line with the academic year and as required by the program.
- Overseas the implementation and compliance of utilizing MedHub across fellowship programs.
- Ensures all program coordinators are trained on MedHub and mentored to complete documentation in full compliance of the ACGMEI.
- Assists the Director - Medical Education Office in compiling data and program information required for ACGMEI surveys and accreditation site visits to maintain continued institutional accreditation.
- Evaluates the compliance to ACGMEI accreditation standards and GME Policies and Procedures among fellowship programs.
- Manages the ACGMEI Accreditation Data System (ADS) to ensure program information, annual updates and surveys are up to date and completed in a timely manner.
- Advises program directors in preparing PLAs, master rotation schedule of fellows, didactic schedule, duty rosters and monitoring compliance among fellows to complete duty hours and surveys using MedHub.
- Manages and communicates accreditation standards and GME policies and procedures with internal departments and stakeholders in Sidra.
- Prepares for the standing Graduate Medical Education Committee meeting, supervises the minutes recording and follows up the actions and supervises the program coordinators to complete key tasks.
- Leads the monthly orientation program of residents and fellows, ensuring all licensing, occupational health and HR requirements are adhered to and completed in a timely manner.
- Directs the coordination of rotating and visiting residents and fellows coming from HMC and other external institutions on a regular basis.
- Develops and maintains ongoing relationships with institutions in Qatar and overseas to achieve collaboration agreements.
- Leads the revision and update of all relevant Medical Education / GME forms, policies, and procedures, and publishes the most current version on the portal.
- Oversees the data compilation and preparation of the annual reports for Medical Education Office and Annual Program Report on the status of the training programs’ compliance with accreditation standards and identifies risks and recommends mitigation actions.
- Leads the day-to-day operational and administrative aspects of the Graduate Medical Education.
- Leads the day-to-day operational and administrative aspects of the Medical Scholarship Program.
- Devises, runs and evaluates the selection processes of sponsored medical students.
- Directs the review of sponsored student and trainee academic performance and the issuance of warning letters and other corrective actions as and when required.
- Liaises with division chiefs and section heads on the onboarding of graduating sponsored residents and fellows at their respective departments.
- Overseas the recruitment process of graduating sponsored medical students in coordination with HR.
- Directs the annual promotion process of sponsored residents and fellows based on annual evaluations and CCC recommendations from their training programs.
- Investigates, addresses and resolves problems, grievances and complaints related to the medical scholarship program.
- Identifies opportunities for improvement to processes within the department and training programs.
