We are seeking a detail-oriented and proactive Marketing & Sales Coordinator to oversee marketing activities, approvals, and logistics while ensuring full control over the marketing budget. This role requires close coordination with internal teams and external vendors to manage execution excellence with a responsibility for promotional materials monitoring and financial reporting, while business partnering with Brand Managers and sales management.
This position is a fixed term contract for 6 months (extendable), will be based at Doha, Qatar; and will report to the Product Manager.
Role & Responsibilities
- Marketing Activities & Approvals:
Oversee and facilitate the approval process for all marketing initiatives.
Ensure marketing activities align with company policies and strategic objectives.
- Budget Control & Financial Coordination:
Maintain full control over the marketing budget, ensuring accurate reporting.
Work closely with the finance team on financial report consolidation, ensuring transparency and accuracy.
Monitor expenses, track invoices, and provide regular budget updates to management.
- Promotional Material & Inventory Management:
Oversee the inventory of all promotional materials, ensuring optimal stock levels.
Coordinate with suppliers for timely production and delivery of promotional items.
Ensure efficient distribution and utilization of materials for marketing campaigns.
- Vendor Management & Procurement:
Serve as the point of contact for external vendors, handling communications.
Request and evaluate quotations from vendors, ensuring cost-effectiveness and quality.
Process purchase orders (POs) and follow up on approvals and payments.
- Process Compliance & SOP Execution:
Ensure adherence to Standard Operating Procedures (SOPs) in all marketing and procurement activities.
Work collaboratively with finance, procurement, and legal teams to ensure compliance.
Identify opportunities for process improvement to enhance efficiency and cost control.
Requirements
- Bachelor’s degree in pharmacy, Business Administration, or a related field
- Minimum 2 years of experience within a similar setting
- Experience in vendor management, financial reporting, and purchase order processing
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) and financial reporting tools preferred
- Knowledge of SAP, Business Warehouse, IBP and Financial planning processes would be an asset
