Key Result Areas:
- Provide high-level administrative support to the Clinical Services and Operations Manager, including calendar management, meeting coordination, travel arrangements, handling confidential correspondence, and follow-up on approvals and requests.
- Prepare, proofread, and format reports, presentations, strategic documents, and internal communications such as memos, meeting minutes, operational updates, and notices.
- Coordinate internal calendars and support the scheduling of clinical services, rounds, and meetings involving veterinarians, specialists, and hospital staff to ensure optimal resource utilization.
- Serve as the primary administrative liaison between the Clinical Services and Operations Manager and internal teams, veterinarians, and clients.
- Review, disseminate, and follow up on attendance reports, gathering missing data as needed.
- Support financial reporting activities in coordination with the finance focal point appointed for EVMC.
- Assist with the full recruitment process including posting vacancies, collecting CVs, coordinating interviews, and managing associated paperwork.
- Arrange interviews and management travel logistics, including schedules, lodging, and meals.
- Conduct orientation and onboarding processes for all new staff and assist in all matters related to job descriptions.
- Support HR operations including responding to internal and external inquiries, coordinating staff training, setting objectives, performance management, and the exit process for departing employees.
- Coordinate HR events, schedule meetings and maintain agendas for HR activities.
- Assist with personal matters or issues raised by EVMC employees as appropriate.
- Perform other reasonable tasks as assigned by the supervisor
Minimum Knowledge, Skills & Experience:
- High School & 2-5 years of relevant full-time work experience
- Extensive experience with administrative and clerical skills duties.
- Excellent writing skills with the ability to draft and edit a variety of written reports and communications and to articulate ideas clearly and concisely; Arabic proficiency is an advantage
- Proficiency in MS Office applications
