Your day-to-day:
- Reports directly to and communicates with the General Manager on all administrative matters.
- Maintain the strictest confidentiality at all times on all matters.
- Ensure that the Qatar Tourism System or E-Services is always updated, e.g., license renewal, grade classification, organizational chart, hotel rack rates.
- Cooperates, coordinates and communicates with Department Heads and other inter-departmental secretaries as appropriate.
- Co-ordinate and arrange activities accorded to the General Manager’s office. (Employee of the Month and Coffee with GMs)
- Arrange appointments and meetings for the GM, recording same in diary and ensure the GM has the appropriate documentation for each appointment.
- Attend meetings such as Department Heads Meeting, Executive Committee Meeting and others as directed by the GM.
- Take minutes of attended meetings, accurately transcribe and circulate to appropriate personnel.
- Arrange room and restaurant reservations for VIP guests and the Owning Company
- Prepare welcome letters for GM’s signature for VIP arrivals
- Prepare replies to routine correspondence on behalf of the GM
- Take dictation of correspondence as required, open and sort mail addressed to the GM
- Answer all incoming calls for the GM and either transfer, redirect or take a message
What we need from you:
- Prior experience as a personal assistant or executive assistant preferred
- Excellent time management and multitasking skills
- Strong verbal and written communication in English (Arabic is a plus)
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Discretion, professionalism, and a proactive attitude
- Cultural Awareness: Understanding and appreciation of diverse cultures, which is especially important in international hotels.
- Customer Service Orientation: A strong customer service orientation to assist with guest-related matters and ensure high standards of hospitality
